What information we collect and why

Enquiries and contact forms

When you fill in a form on our site or email us, we collect the details you give us. This usually includes your name, email address, phone number, postcode or property address, and anything you tell us about the work you are interested in.

We use this to reply to you, prepare quotes, and carry out any work you book with us. We do this because it is necessary to respond to your request and to form a contract with you.

‍Newsletter and marketing emails

If you sign up to hear from us, we collect your name and email address. We only send you marketing emails if you have asked us to, and every email includes an unsubscribe link. You can opt out at any time.

‍Cookies and similar technologies

‍Cookies are small text files placed on your device when you visit a website.

‍ Our site runs on Squarespace, which sets a small number of cookies:

  • Essential cookies. These keep the site secure and working properly. For example, crumb helps protect against cross-site request forgery, and ss_cookieAllowed remembers your cookie preferences. These cannot be switched off.

  • Analytics cookies. Squarespace Analytics uses cookies such as ss_cid, ss_cvisit and ss_cvr to work out how many people visit the site, which pages they look at, and how they found us. These can last up to two years.

‍We also use Google Analytics to understand how visitors use the site, and Google Search Console and Bing Webmaster Tools to monitor how the site performs in search results. Search Console and Bing Webmaster Tools do not set cookies on your device.

‍Analytics tells us things like which services are most popular and which pages people leave from. It helps us improve the site. We rely on your consent for non-essential cookies, and you can change or withdraw that consent at any time through the cookie banner or your browser settings.

Most browsers let you block or delete cookies. Blocking essential cookies may stop parts of the site working.

‍Embedded content from other websites

‍Some pages may include embedded content such as videos, maps or social media posts. Embedded content behaves as though you have visited that other website directly. Those websites may collect data about you, set their own cookies, and track your interaction with the embedded content, particularly if you have an account with them and are logged in.

‍We recommend reading the privacy policy of any third party whose content appears on our site.

‍Reviews and social media

‍ If you leave us a review or contact us through a social media platform, that platform's own privacy policy applies to the information you share there.

‍Who we share your information with

‍We do not sell your personal information. We share it only with:

  • Squarespace, who host our website and store form submissions. Squarespace Ireland Ltd provides the service to customers in the UK and Europe.

  • Google, for website analytics and search performance data.

  • Microsoft (Bing), for search performance data.

  • Suppliers or subcontractors, where this is needed to carry out work you have booked with us.

  • Our accountant, and HMRC or other authorities, where we are legally required to share information.

Some of these providers are based outside the UK, including in the United States. When we transfer information outside the UK, it is protected by safeguards such as the UK International Data Transfer Addendum or Standard Contractual Clauses.

‍How long we keep your information

  • Enquiries that do not lead to work: up to 2 years, in case you come back to us.

  • Customer records, quotes and invoices: 7 years from the end of the relevant tax year, as required by HMRC.

  • Newsletter subscribers: until you unsubscribe.

  • Analytics data: as set by Squarespace and Google, typically no more than 26 months.

‍ Your rights

‍Under UK data protection law, you have the right to:

  • Ask for a copy of the personal information we hold about you.

  • Ask us to correct information that is wrong or incomplete.

  • Ask us to delete your information, where we are not required to keep it.

  • Ask us to restrict how we use your information.

  • Object to us using your information for direct marketing, at any time.

  • Ask us to transfer your information to another provider.

  • Withdraw your consent, where we rely on it.

‍To use any of these rights, email us at ecooasislandscapes@outlook.com. We will respond within one month.

‍If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

‍Changes to this policy

‍ We may update this policy from time to time. Any changes will appear on this page with a new "last updated" date.
